Presenter Instructions



  • One author must register for each paper to appear in the proceedings.
  • If none of the authors can attend (e.g., visa reasons) they must arrange for another registered WACV attendee to present on their behalf, for both the oral presentation and the poster session.
  • We don’t recommend presenting via recorded video or over Skype, but the oral presentation can be done this way.  An in-person WACV attendee must be present at the poster session.
  • If no arrangement is made to present the paper (i.e. a no-show), the paper will be withdrawn from the proceedings and will not be included in IEEExplore.
  • In keeping with WACV tradition, each paper will be presented as a short oral and a poster.

Oral Presentation

Authors will give a 5-minute oral presentation for each paper during the assigned oral session as published in the program. The time limit will be strictly enforced; the presenter should focus on clearly communicating the most salient aspects of the work and the main results.

Seats in the oral session room will be numbered in presenter order.  Please arrive to the room 10 minutes before the session starts (or the preceding “short break” ends), and sit in the seat with the number matched to your paper in the pocket guide.  Presentations will follow in the order given in the pocket guide. Use your own laptop for the presentation. While a presenter is giving their talk, the next presenter will test their laptop with assistance from a WACV volunteer. When a talk concludes, the display will transition immediately to the next presentation and a new talk will immediately commence (questions should be reserved for the poster session). Projector resolution is 1024×768.

The equipment will be available for testing your talk 30 minutes prior to the day’s first session.

Poster Instructions

Each paper must also be presented during the poster session at the end of the same day as the oral presentation. At least one author should be present at the poster during the entire session.

The mounting board for each poster 4 feet tall X 8 feet wide (1.2m x 2.4m) in  landscape orientation as shown in the picture. The printed posters must be smaller or equal to this size to be appropriately mounted. Each paper will be assigned one of the two sides of the board. Push pins will be provided.

Each poster is only displayed during the assigned poster session. Authors are responsible for mounting the poster before the session and removing it at the end of the session.

Poster boards will be numbered. Your poster number will be the number beside your title in the printed program and the online program.

Terry’s Tips for effective posters are listed in this example Powerpoint Poster Template. Note the template is 22″x45″ and should be printed at 200% magnification. (Powerpoint does not allow a size of 44″x90″).  If you provide the template to a printer, tell them the desired final size. 300 DPI resolution on the graphics is recommended.

Local Poster Printing

Attendees to WACV 2018 will be able to send their posters to be printed and picked up at the conference registration desk.

The files must be in jpeg or pdf format and 300 DPI for graphics to be printed crisply.  Please allow at least 2 days lead time for delivery service. If authors choose to pick up the posters, they can be turned around in about 2 hours time.

Poster printing charges are $88 plus tax and will be delivered to the hotel – please see Nicole at conference registration. Please note when you need your poster by when sending the poster.

This printer has a limitation to the size of the poster – they can only print 42×87 inches. If you want to go to the larger size, the cost will increase.

Early registration ends on February 9, 2018, 11:59pm EST.

Every paper must have at least one author registered by the camera-ready deadline, January 26, 2018. This can be a student author and one person can register multiple papers as long as that person is a co-author on each of the papers.

All Passport Registrations include: Admission to all technical sessions, any tutorials and workshops, daily refreshment breaks, dinner buffets, and access to the digital download proceedings (contains all workshops).

Obtaining Visa Letters of Invitation

Email and 1st class US mail (no tracking) is free. Express mail service is $62 – see optional items page during registration. IF you need a letter of invitation to apply for a US visa, please send the following to Veronica Eisenbart <veronica AT ctocevents DOT com>:

  • Your FULL name, including salutation (Mr, Ms, Mrs).
  • The paper title and number (include name of workshop if applicable).
  • Whether you want a hard copy or an email document. E-mail is preferred.
  • Your Full mailing address or email address as appropriate.
  • Your registration confirmation number (ie. Reference number).

We will not issue visa letters without confirmation that you have registered and paid. Please know that your letter will be turned around as quickly as possible. Any fraudulent requests will be reported to the proper authorities.

Refund Policy – All refund requests must be made via email to Nicole<nicole AT ctocevents DOT com>. All cancellations will be subject to a cancellation fee of $50. NO REFUNDS will be made after February 19, 2018, 5pm EST. However, you are allowed to change the name on the registration without penalty.

Updating a Registration

You can update your registration or make a substitution– click the link above, select “Change your Existing Registration”, enter your email and password. Then select “continue”.
